1. Scope and accountability

This notice applies when people visit Proactix, create an account, purchase or use a service, communicate with Proactix, or appear in Customer-submitted safety records.

Joel Stjean, carrying on business as Proactix Safety, a registered British Columbia sole proprietorship is responsible for Proactix privacy practices. The Privacy Officer is Joel Stjean at Joel.proactix@gmail.com. This notice supports applicable private-sector privacy law, including British Columbia’s Personal Information Protection Act and, where applicable, federal law.

2. Information Proactix may collect

  • Identity and contact information such as name, business email, company, title, and account identifier.
  • Account and authorization data such as authentication state, company assignment, user role, consent receipts, and security events. Proactix does not store readable passwords.
  • Commercial data such as offer, order, invoice, payment status, subscription, credit, and provider transaction identifiers. The payment provider, not Proactix, handles full card details.
  • Customer Content such as safety forms, reports, observations, action evidence, attachments, and personal information Customer includes.
  • Technical and usage data such as security information, browser or device data, timestamps, pages or features used, logs, and essential session data.
  • Communications, support requests, consent choices, complaints, and other submitted information.

3. Sources and purposes

Information comes from users and Customers, authorized Customer users, service operation, and providers supporting authentication, hosting, payments, and security.

Proactix uses it to provide and secure accounts; verify identity and authority; deliver Scan, Pilot, and Hub services; process orders; support users; prevent fraud and abuse; troubleshoot and improve quality; maintain necessary records; enforce agreements; and comply with law.

Proactix does not sell personal information or use Customer-identifiable safety content for behavioural advertising.

Where consent is appropriate, Proactix presents key information and document links before collection or use. Contract acceptance is separate from optional marketing. Proactix will not require consent to unnecessary collection, use, or disclosure as a condition of service.

A person may withdraw optional consent by contacting the Privacy Officer, subject to reasonable notice and legal or contractual limits. Withdrawal may prevent a feature that genuinely requires the information. Necessary transaction, security, and acceptance records may remain.

5. Customer-submitted information

Business Customers decide what workplace records to submit and are responsible for authority, notice, consent, and lawful instructions relating to workers, contractors, and others. Customers should not submit unnecessary medical, disciplinary, HR, union, legal, financial, family-status, or similarly sensitive data.

Proactix processes such information to provide the requested service and does not make final employment, disciplinary, medical, legal, or safety decisions about individuals.

6. Providers, disclosure, and locations

Proactix may disclose information to providers supporting hosting, databases, authentication, storage, payment, communications, document processing, AI-assisted analysis, monitoring, and security. They may process it only for authorized services under applicable contractual and security obligations.

Providers may process information outside British Columbia or Canada, where destination laws apply. Proactix does not promise Canadian-only residency unless a signed order says so.

Proactix may also disclose with valid consent, in a protected corporate transaction, to protect people or systems, to enforce rights, or where law requires.

7. Cookies and similar technologies

Proactix uses essential browser storage, cookies, or similar technology for authentication, security, session continuity, preferences, and operation. Limited measurement may be used for reliability and product use. Customer Content is not used for behavioural advertising.

If non-essential advertising or tracking requiring consent is introduced, Proactix will provide a separate choice before activating it.

8. Retention, deletion, and safeguards

Proactix retains information only as reasonably needed for identified purposes, active service, security, disputes, or legal and accounting duties. The Security & Trust Addendum sets Customer Content export and deletion periods.

Acceptance receipts, transaction records, fraud evidence, security logs, and records needed to establish or defend rights may remain after Customer Content is deleted. Other information is deleted, de-identified, or rendered inaccessible when no longer required.

Reasonable safeguards appropriate to sensitivity and risk include access controls, tenant separation, protected credentials, authenticated transfer paths, logging, and provider controls where applicable. No system guarantees absolute security.

9. Access, correction, and complaints

Subject to lawful exceptions, an individual may ask whether Proactix holds their personal information, request access, or request correction. Proactix may verify identity and clarify the request. Where Customer controls a submitted record, Proactix may direct the request to Customer.

Send privacy questions, complaints, access or correction requests, and optional-consent withdrawals to Joel.proactix@gmail.com. Proactix will investigate and respond within the time required by applicable law.

10. Children and notice changes

Proactix organizational services are for authorized adult users, not children under 18. Do not submit personal information through public pages or ordinary email when an authenticated path exists.

Proactix may update this notice prospectively. Version and publication date identify the notice in effect. Proactix will give reasonable notice of a material change and seek new agreement or consent where required.
